Privacy Policy

1. Who We Are
Quarmup ("we," "us," or "our") is a group event coordination service that helps people organize recurring activities — from pickup sports to book clubs to online meetups. This Privacy Policy explains what personal information we collect, how we use it, and your rights regarding that information.
2. Information We Collect
We collect only what is necessary to operate the service:
- Email address — used to send you sign-in links and event notifications. We do not use passwords.
- Display name — the name you provide when setting up your profile, shown to other members in your groups.
- Profile photo — optional image you may upload to personalize your account.
- Phone number — optional, only if you choose to add it to a group profile and enable sharing.
- Billing data — if you subscribe to paid features, payment processing data is handled by Stripe. We store subscription status and Stripe customer/subscription identifiers, not full card numbers.
- AI feature input — if you use AI-assisted drafting features, your prompts and related event content may be sent to our AI provider to generate responses.
- Activity data — your RSVPs, comments, and reactions within groups you belong to.
- Technical data — standard server logs including IP addresses, browser type, and access timestamps, retained for security and debugging purposes.
3. How We Use Your Information
- To authenticate you via magic link sign-in emails
- To send you event notifications, reminders, and quorum alerts for groups you belong to
- To display your name and activity to other members within your shared groups
- To process subscriptions and billing events for paid plans
- To provide AI-assisted drafting features when requested
- To operate and improve the service
We do not sell, rent, or share your personal information with third parties for marketing purposes.
4. Third-Party Services
We use the following third-party services to operate Quarmup:
- Resend — transactional email delivery (sign-in links, event notifications). Your email address is shared with Resend solely for the purpose of delivering emails to you.
- Stripe — subscription billing and customer portal. Stripe processes payment details and provides us billing status information.
- OpenAI — AI-assisted text generation for optional drafting features.
- Supabase/PostgreSQL — managed database infrastructure for account and product data storage.
- Vercel — hosting and infrastructure. Your data is stored on servers operated by Vercel.
Each of these providers has their own privacy policy governing how they handle data processed on our behalf.
5. Data Retention
We retain your account data for as long as your account is active. If you remove yourself from all groups and your account is inactive, your data may be retained for up to 12 months before deletion. You may request earlier deletion at any time (see Section 6).
- Account and group data — retained while your account is active, then deleted on request or after our inactive-account cleanup windows.
- Inbound contact/legal mailbox messages — generally pruned after around 120 days unless manually saved for longer retention.
- Billing records — retained as needed for accounting, tax, fraud-prevention, and legal compliance.
6. Your Rights
You have the right to:
- Access a copy of the personal data we hold about you
- Correct inaccurate data
- Request deletion of your account and associated data
- Object to or restrict certain processing

7. Cookies & Session Storage
Quarmup uses necessary cookies and local storage to run core functionality, such as sign-in sessions, security, and product experience settings. We also use analytics technologies (including Google Analytics) to understand product usage and improve the service. We do not use advertising cookies and we do not sell personal information for cross-context behavioral advertising.
You can control cookies through your browser settings. Some required cookies are necessary for sign-in and core functionality and cannot be disabled without affecting service operation.
8. U.S. State Privacy Rights
If you are a resident of a U.S. state with applicable privacy laws (such as California, Colorado, Connecticut, Virginia, Utah, and others), you may have rights to request access, correction, deletion, and a portable copy of your personal information, and to opt out of certain types of processing where applicable.
We do not sell personal information and do not share personal information for cross-context behavioral advertising. To submit a rights request, email contact@quarmup.com. We may need to verify your identity before processing your request.
9. Children's Privacy
Quarmup is not directed at children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us their information, please contact us and we will delete it promptly.
10. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the effective date at the top of this page. Continued use of the service after changes constitutes your acceptance of the updated policy.
